Codot Privacy Policy
This Privacy Policy explains how Silver Roc Pte. Ltd. ("Silver Roc," "we," "us," or "our") handles information when you use Codot on Android, iOS, the web, or related services. Codot is an AI-assisted productivity and memory app.
Questions or privacy requests can be sent to [email protected]. You can also review our account deletion instructions.
1. Information We Collect
Account information
We may collect your name, email address, profile image, account identifier, sign-in method, account settings, subscription status, and authentication information. Passwords for email accounts are stored as protected password hashes, not as readable passwords.
Content you choose to provide
Depending on the features you use, this may include:
- tasks, notes, tags, links, reminders, chat messages, and preferences;
- voice recordings and transcripts, images, files, and receipt images;
- calendar events and calendar account details you choose to connect;
- collaborator details and CRM contact information you enter or receive through an invitation;
- expense records and receipt content, but not bank credentials or complete payment card numbers; and
- wellness entries such as meals, calories, exercise, and weight.
Purchases
For subscriptions, we receive product identifiers, purchase tokens or transaction identifiers, purchase status, and expiration information from Google Play or Apple. Google and Apple process your payment instrument. Codot does not collect or store your complete card number or card security code.
Device, usage, and diagnostics
We may collect a device or installation identifier, push-notification token, IP address and an approximate region derived from it, operating system, app version, language, time zone, permission status, feature interactions, crash logs, and diagnostics. Codot does not use the Android Advertising ID and does not serve third-party advertising.
2. How We Use Information
- to create and secure your account and keep you signed in;
- to provide tasks, notes, reminders, chat, transcription, image understanding, calendar sync, collaboration, wellness, expense, and subscription features;
- to personalize and improve Codot, diagnose failures, and measure product performance;
- to send service messages, verification codes, reminders, and notifications you request;
- to prevent fraud, abuse, and security incidents; and
- to comply with legal obligations and enforce our terms.
3. AI Processing
When you use AI features, the text, audio, images, files, or related context needed to answer your request may be processed by our AI service providers, including OpenAI and Google Gemini. We send only the information reasonably needed to perform the feature you requested. AI output can be inaccurate and should not be treated as medical, legal, or financial advice.
4. When We Share Information
We do not sell personal information and do not share it for cross-app targeted advertising. We may share information in these limited circumstances:
- Service providers: Google services (including Sign-In, Calendar, Firebase, Gemini, and Google Play), OpenAI, Microsoft Azure, and other hosting, storage, email, security, and support providers that help operate Codot.
- At your direction: with collaborators, invitees, or other people when you choose to share content or assign work.
- Legal and safety: when reasonably necessary to comply with law, protect rights and safety, investigate abuse, or respond to lawful requests.
- Business changes: as part of a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality and notice requirements.
5. Google API Data
Codot's use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements. Google Calendar data is used to provide the calendar features you request. You can disconnect calendar access from Codot or your Google Account settings.
6. Permissions
Codot requests device permissions only when needed for a feature, such as microphone access for voice input, camera access for captured images, calendar access for calendar sync, and notification access for reminders. On Android, occasional image selection uses the system photo picker rather than broad access to your photo library. You can change permissions in device settings.
7. Health and Financial Content
Wellness features are for personal organization and general information. Codot is not a medical device and does not provide diagnosis or treatment. Expense features help organize information you enter; Codot is not a bank, lender, broker, money-transfer service, or financial adviser.
8. Retention and Deletion
We keep account information and user content while your account is active or as needed to provide Codot. We may retain limited records for security, dispute resolution, tax, accounting, or other legal requirements. Backup copies are removed through normal backup rotation. Aggregated or de-identified information that no longer identifies you may be retained.
You can request permanent deletion in Codot under Me > Settings > Delete Account, or use our web deletion instructions. Deletion removes your account and associated content, subject to the limited retention described above.
9. Security
We use administrative, technical, and organizational safeguards designed to protect information, including encrypted network transport, access controls, and restricted service credentials. No system is completely secure, so we cannot guarantee absolute security.
10. International Transfers
Silver Roc is based in Singapore. Information may be processed in Singapore and other countries where our service providers operate. Where required, we use appropriate safeguards for international transfers.
11. Your Choices and Rights
You can update profile information and permissions in Codot or device settings, disconnect connected services, and request access, correction, export, restriction, objection, or deletion where applicable. Contact [email protected] to exercise a privacy right. We may need to verify your identity before completing a request.
12. Children
Codot is intended for adults and is not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided information, contact us so we can investigate and delete it where required.
13. Changes to This Policy
We may update this policy as Codot changes. We will update the date above and provide additional notice when required by law.
